The position holder is responsible for carrying out comprehensive administrative and organizational support to Head of Commercial NA. This includes, but not limited to meeting and events management, agenda planning and minutes, events and travel coordination, preparation of power point presentations, excel work sheets support and DLs.


Primary Tasks:


  • Full awareness & implementation of internal policies.
  • Full awareness & implementation of all business process.
  • Expedite flow of work, follow up and anticipate priorities to ensure deadlines are met regarding all the activities related to Country Manager office and LT team.
  • Organize LT meetings and regional visits as appropriate
  • Organize corporate events/ conferences whenever required
  • Dealing with correspondence, complaints, and queries regarding Egypt commercial office
  • Maintain the corporate materials supply and handle the rebranding whenever needed
  • Provide administrative support to the country manager in preparation of presentations, typing letters, maintaining appointments, and ensure flow of process for any required correspondences with external stakeholders
  • Prepare Expense reports and reconcile T&E statements
  • Maintain receipts and records relating to office expenses
  • Manage Alexandria office and Ramsis office, following up on the regular monthly utilities and coordinating all the facilities with CBRE.
  • Liaise with BCD/other vendors for flights, accommodation and preparation of detailed itineraries including liaising with Viatris colleagues regarding travel, accommodation and transfer arrangements for international and local meetings.
  • Assist various members of the team with office familiarization including room preparation and their appropriate storage.
  • Initiate POs in SmartSource for payments to suppliers and follow up with vendors to ensure delivery of orders in timely manner and follow up with finance for final payments.
  • Continuous update of the shared team calendar and maintain distribution lists and key contact lists.
  • Provide assistance in the setting of the department objectives and development plans and help in the relevant automated systems.
  • Build an appropriate E. Filing system

Level of Responsibility:


Tasks are performed under the general direction of Egypt Country Manager ; however, the incumbent is fully responsible for the operational / business results of his/ her job.

Essential Personal Qualifications:


  • Minimum of 5 years of experience in office administration
  • Fluent English Language (written & spoken)
  • Working knowledge of MS Office, Word, Excel, Power Point
  • Excellent typing skills with high speed in both Arabic and English
  • Excellent written and oral communication skills in both Arabic and English
  • Excellent communication and problem-solving skills
  • Organized and Disciplined
  • Strong attention to detail
  • Excellent interpersonal skills and experience to deal with top executives
