Oversee and carry out various day-to-day departmental administrative functions. Perform regular administrative duties for the department: answer phones, maintain appointment calendars; screen incoming mail; set up meetings; photocopy; place facility work orders, place IT tickets, and the like. Works to manage and oversee the Front Desk and student staffing in conjunction with the Director of Undergraduate Admissions. Prepare/coordinate bulk or other special departmental mailings (including but not limited to student acceptance packets, invitations to admissions events, schedules and reminders of admissions events, faculty letters to incoming students, etc.) Perform administrative duties for the Vice President of Admissions; answer phones, maintain appointment calendar and schedule meetings, screen incoming mail, coordinating with other departments as needed. Perform data entry tasks in Banner as needed within the department (including but not limited to accepted student major change requests, student application status changes, major designation, etc.) Perform basic liaison functions with students, faculty, staff, parents, or other department/program constituency: explain policies/procedures, answer various questions, coordinate services/assistance, handle special requests or problems, routing to senior staff members as appropriate. Confer and collaborate regularly with immediate supervisor, other administrative coordinator, and other admissions staff to exchange information, resolve problems, and similar tasks. Maintain accurate and complete admissions records in the CRM , as required by admissions leadership. Track student and application documentation, following up with students as necessary. Assist with planning and logistical support for admissions events (including Accepted Student Days, Open Houses). Perform other related duties as assigned by supervisor or other admissions leadership.
Qualifications Two to three years of relevant broad-based administrative experience, or a combination of education and experience.
Broad base of general administrative skills, including typing, filing, copying, phone/office reception, and so forth. Good basic administrative and organizational skills. Previous experience with computerized information systems essential. Good reading, spelling/grammar and general writing and math skills. Some bookkeeping/accounting training or experience may be desirable. Ability to communicate effectively with a wide variety of University personnel, students, and/or outside individuals/organizations.
